The Administrative, Cleaning and Maintenance Support Division

The Division of Administrative, Cleaning and Maintenance Support (hereinafter referred to as the ФDivision) is directly subordinated to the Director of the Chernivtsi Institute of Trade and Economics of the State University of Trade and Economics (hereinafter referred to as the «Institute»).

The work of the Division is overseen by the Head of the Division, in his/her absence, by the Main Engineer.

The work of the Division is governed by the Constitution of Ukraine, the Laws of Ukraine, Resolutions of the Cabinet of Ministers of Ukraine, orders and instructions of the Ministry of Education and Science of Ukraine, orders of the Rector of the State University of Trade and Economics (hereinafter referred to as the «SUTE») and the Director of the Institute, the Charter of SUTE, the Regulations of the ChITE SUTE and the Regulations on the Division of Administrative, Cleaning and Maintenance Support.

Regulations on the Division’s structure, staff, and job duties of the employees are approved by the Director of the Institute.

The purpose of the Division is to provide material and technical support for the Institute’s activity, to maintain office premises, buildings and structures in proper technical, fire and sanitary condition.

All employees of the Division are appointed and dismissed by the order of the Director of the Institute.

The work of the Administrative, Cleaning and Maintenance Support Division focuses on the main tasks as follows:

maintenance of engineering networks and equipment in working condition, operation of equipment in accordance with regulatory and technical documents;
timely and high-quality preventive maintenance, repair, modernization and reconstruction of power equipment;
training of technical personnel and checking their knowledge of operating rules, safety measures, job descriptions and work instructions;
creation of conditions for maintaining the territory, buildings, structures and premises in proper condition in accordance with the rules and regulations of sanitation and fire safety;
protection of buildings, structures and territory of the Institute;
preparation and submission to the management of information and analytical materials on the condition and prospects of development of economic support of the Institute’s activity.

Functions of the Administrative, Cleaning and Maintenance Support Division

In accordance with the tasks assigned to it, the Division performs the following functions:

plans, organises administrative, cleaning and maintenance support of the Institute’s activities;
provides cleaning and maintenance support and ensures proper condition in accordance with the rules and regulations of industrial sanitation and fire protection of buildings, structures and -premises where the Institute’s subdivisions are located;
monitors the serviceability of equipment (heating, electricity, water supply and drainage, ventilation systems);
participates in the inventory of buildings, structures, premises, equipment in order to control their safety and technical condition;
plans current and major repairs of buildings, structures and engineering networks;
organises and provides the repair of premises, controls the quality of repairs, participates in the commission for commissioning of repaired office premises;
ensures receipt and storage of office supplies, paper, furniture, equipment, inventory, and keeps records of their consumption;
ensures the functioning of telephone communication;
carries out the convenience improvement, landscaping and cleaning of the adjacent territory;
provides transport support for the Institute’s activity;
carries out the corresponding measures to protect office premises and property;
organises the work and creates safe working conditions for technical staff;
develops proposals for the annual procurement plan to ensure cleaning and maintenance support activity;
ensures the implementation of orders of the Ministry of Education and Science of Ukraine, the Rector of SUTE and the Director of the Institute, as well as of the orders from regulatory authorities.
